Event Contract Template
This agreement is made on [DATE], between [CLIENT NAME] (“Client”) and [YOUR BUSINESS NAME] (“Provider”) for services at [EVENT NAME] on [EVENT DATE] at [LOCATION].
Retainer
A non-refundable retainer of $___ is due to book your event. The total price for the services is $___. Full payment is due before the event.
What’s Included
This contract covers all services listed in the package you chose. Any extras you ask for later will cost extra. No refunds if you decide not to use a service that’s already included.
Expiration
Your date will only be held for one week after this contract is sent. If payment isn’t made, the date may be released.
Hotel & Travel (If Needed)
If your event is more than 40 miles away, we might ask for hotel rooms. For far-away (destination) events, we may need travel fees like airfare, hotel, and car rental. We’ll work that out with you ahead of time.
Cancellations & Postponements
If you cancel the event, no money will be refunded. If you postpone, we’ll do our best to reschedule—but it depends on availability. If we’ve already done a lot of work, a second payment might be needed.
Liability
We are only responsible for our own services. We are not responsible for other vendors. We are not responsible for things outside our control, like bad weather, illness, or emergencies.
Overtime
Extra time or extra services not in this contract will cost $130/hour. We’ll always let you know before charging more.
Payments
You can pay by credit card, cash, or check. Half is due to book. The rest is due by [INSERT DATE OR TIMELINE].
Damage or Loss
If our equipment is damaged or lost at your event, you’ll be responsible for the cost of repair or replacement.
Safe Working Environment
You agree to keep things safe and respectful. If there’s dangerous or threatening behavior, we may stop services and leave. No refunds will be given if this happens.
Wrap-Up
Both parties agree to follow what’s written in this contract. Any changes must be in writing and signed by both.
